Managing Entities and Accounts
This feature is currently available only through beta testing.
Entities let you group accounts inside one Quicken data file so you can focus on a specific set of accounts at a time, such as personal, a family member, or a trust.
What entities are
An entity is a named grouping you use to organize accounts within the same file. When you select an entity, Quicken filters what you see so you can work with only the accounts assigned to that entity.
How entities relate to accounts
Accounts determine what an entity contains. You control membership by assigning accounts to an entity in Manage Entities.
Each account can be assigned to one entity, or left unassigned.
You can assign any account type to an entity.
Assigning an account to an entity does not change transactions or balances.
Turn entities on or off
You can enable and disable entities using your preferences. This feature is turned on by default.
Go to Edit → Preferences.
Select Setup.
Select Work with subsets of your accounts using ‘entities’.
Select OK.
Create and manage entities
You create and maintain entities in Manage Entities. This is also where you assign and unassign accounts.
Open Manage Entities
Select the All Entities dropdown in the title bar.
Select Manage Entities.
You can also navigate to Tools → Manage Entities.
Create an entity
Create an entity before you assign accounts.
In the Manage Entities window, select Add.
Enter the entity name, and then save.
Rename an entity
Renaming changes the name only.
In Manage Entities, open the Entity dropdown and select the entity.
Select Edit.
Update the name, and then save.
Delete an entity
Deleting an entity removes the entity but does not delete accounts or transactions.
In Manage Entities, open the Entity dropdown and select the entity.
Select Delete.
Confirm the deletion.
Assign accounts to an entity
Entities work by assignment. Quicken shows accounts you can assign on the left and accounts already assigned to the selected entity on the right.
Open Manage Entities.
In the Entity dropdown, select the entity you want to work with.
In the left list, select the account you want to assign.
Select Add. (You can also double-click the account.)
Confirm the account appears in the right list.
Unassign accounts from an entity
Unassign accounts to remove them from the entity.
In Manage Entities, select the entity from the Entity dropdown.
In the right list, select the account you want to unassign.
Select Remove. (You can also double-click the account.)
Manage Entities options
These options affect what you can see and how investing views behave when you change entities.
Show hidden accounts shows accounts you hid in account settings so you can assign or unassign them.
Set Portfolio View accounts by entity controls whether Investing > Portfolio follows your current entity focus.
Switch focus with the entity dropdown
After you enable entities, use the title-bar dropdown to change what Quicken focuses on.
Select All Entities to work with the full file.
Select an entity to focus on accounts assigned to that entity.
Select Unassigned accounts to view accounts that are not assigned to any entity.
Select Manage Entities to add, rename, delete, or assign entities.
Work with entity groups
Entity groups let you view multiple entities together, such as a combined “Family” view.
Turn on entity groups
Open Manage Entities.
Select Use Entity Groups.
Create or update a group
You manage groups from the Edit Entity dialog.
In Manage Entities, open the Entity dropdown and select an entity.
Select Edit Entity.
In Group, do one of the following:
Select an existing group.
Select Add to create a new group.
Select Edit to rename the selected group.
Select Delete to delete the selected group.
Save your changes.
Run entity reports
Use entity reports to review financial data for your entities. The Entity Overview and Funds Flow Overview reports always show data for the entire file and include segmentation by entity, even when you have a single entity in focus. All other entity reports adjust to the entity that is in focus when you open the report.
If you change the entity while a report is open, the report does not update. Close and reopen the report to refresh it for the newly focused entity.
Run an entity report
Entity reports are available as a separate report category.
Go to Reports → Entity.
Select the report you want to run.
