Working with memorized payees in Quicken
Memorized payees help speed up data entry in Quicken by remembering the details of past transactions. As you record transactions, Quicken can store the payee name, amount, category, tag, memo, and other information so that the next time you enter a transaction for the same payee, those fields are automatically prefilled.
You can review, edit, create, or delete memorized payees using Tools > Memorized Payee List. Quicken can memorize payees automatically or let you enter them manually, giving you control over how your financial data is standardized and reused.
What can I do with memorized payees?
Memorized payees do more than save time. You can use them to:
Automatically fill in transaction details based on past activity
Track common purchases with consistent categories and memos
Standardize payee names using renaming rules
Avoid retyping frequent split transactions
Create reports for specific payees to analyze spending trends
Apply rules based on the amount or account used for a transaction
Rename a payee dynamically based on transaction details
How amount and account rules work
Memorized payees now support transaction rules, which let you categorize and label transactions more precisely. You can define rules that assign categories, memos, tags, or even update the payee name automatically based on:
The amount of the transaction
The account the transaction belongs to
A combination of both
Examples
Rule Type | Example | Result |
---|---|---|
Amount | Payee: Apple, Amount: $29.99 | Category: Subscriptions |
Account | Payee: Apple, Account: Amex | Category: Subscriptions |
Amount + Account | Payee: Costco, Account: Amex, Amount > $50 | Category: Gas & Fuel |
Conditional rename | Payee: Apple, Amount: $29.99 | Rename to: Apple One Subscription |
These rules work with downloaded transactions and apply automatically when conditions match. These rules are optional — they simply extend how memorized payees work, giving you more control over categorization.
Frequently asked questions
How would I use a memorized payee?
Suppose you write a check to Barden Grocery every week. The first time you enter this transaction, Quicken saves the details to the Memorized Payee List. The next time you type “Barden Grocery” in the Payee field, Quicken pre-fills the rest. You can adjust the amount or other fields as needed, and Quicken will remember those changes unless the payee is locked.
How do I memorize and use a split transaction with percentages?
Quicken lets you create a memorized payee with a split transaction that divides expenses across categories. You can assign fixed amounts or percentages. Each time you use that payee, the splits are applied automatically.
How do I keep the amount from changing every time I recall a transaction?
To preserve the original amount, lock the memorized payee entry. When locked, Quicken won’t update it with new transaction amounts from the register.
How do I delete a memorized payee?
In the Memorized Payee List, select the payee you want to delete, then choose Delete from the menu or press the Delete key.
How do I create a memorized payee?
You can create one automatically by entering a transaction or manually by selecting Tools > Memorized Payee List > New Payee and filling in the fields.
How do I standardize payee names with renaming rules?
Renaming rules help ensure that downloaded transactions match your memorized payees. Use Edit > Preferences > Renaming Rules to define and manage these rules.
To rename a payee based on amount or account, use a memorized rule instead. These conditional renames don’t affect global renaming rules and only apply when the rule criteria are met.
How do I create a spending report for a memorized payee?
In the Memorized Payee List, select the payee and click the Report icon. This generates a spending report that shows all transactions for that payee.
